Office 365 Alerts Add-in for SharePoint Online by Virto is released!



VirtoSoftware announced the release of a Virto Office365 Alerts Add-in, which allows SharePoint users to send group and individual alerts about creating, deleting or changing list items or whole documents via email.

Now it is much easier to non-power users to create a custom Office365 Alert. No additional coding! The alert creation process can be fully customized using an intuitive interface. You just need to fill a information form with four tabs: “General”, “Recipients”, “Message View” and “Options”.

In “General” tab you should define the alert name and SharePoint list according to which alerts will be created.

Recipients tab contains the list of recipients who will receive alerts. There are several options of recipients’ selection.

You can type SharePoint user names or any external e-mail addresses. Another option is Me. In this case the email message with alert will be sent to a user who created the corresponding subscription.

Next option contains a Person or Group fields from chosen list. For example, if you need to send alerts to users who are assigned to work with a task, select “Assigned to” option and send alerts to users from according field of the Office 365 Alert list.

With Office365 Alerts Add-in you can assign multiple recipients to this field and select both recipients from a field in the Alert list and recipients with emails.

Message View tab allows you to define a message template that will be used for sending. Also, you can choose a predefined template or create a custom one.

In case you want create an report that contains any attachments, you can include links, pictures or tables into the alert e-mail. You can define in email body, which field values will be send in created alert.

Click on the “Insert field value” button in email body and choose required values for tracking in the created alert.

You can create your own custom schedule for sending Office 365 Alerts, e.g. you can define conditions and period when alerts should be delivered. For instance, you can receive alerts when someone changes an item only within working hours (8 AM to 5 PM). You can also define days of a week to send alerts or choose a specific date based on list’s date field value.

You can send created alert immediately after any changes occurred or create a daily or weekly summary schedule.

Also, you are able to create a custom condition for an alert.

If the list of alerts subscriptions is too large to find a required item, you can use filter by column. For example, you can apply filter by alert title.

The list of alert will be displayed in alphabetical order. You can enable/disable created alerts by checking alert boxes and clicking “Enabled/disabled” button.
Also, you are able to edit or delete created alerts by clicking on the corresponding symbol.
